6. How to request access (s53)
- Complete Form 2 (Information Regulator form, available at inforegulator.org.za).
- Email it to erik@xeqt.co.za with subject "PAIA Request".
- Proof of identity required. If requesting on another's behalf, proof of authority required.
- Fees: per the prescribed fee schedule (request fee R50 for personal requesters; access fees per reproduction costs). Personal-information requests by the data subject: one free request per year.
- We will respond within 30 days (extendable by 30 days with notice).
7. Grounds for refusal
We may refuse access where PAIA requires or permits (e.g., protection of another's privacy, commercially confidential information, legal privilege). Refusals will be in writing with reasons and appeal rights.
8. Processing of personal information (POPIA)
- Purpose: delivery of business systems and support services — see our Privacy Policy.
- Data subjects: clients, leads, client customers, suppliers.
- Recipients: sub-processors listed in our Privacy Policy §5.
- Cross-border transfers: as per Privacy Policy §5 (§72 safeguards).
- Security measures: per Privacy Policy §7 and client Operator Agreements, Schedule A.
9. Remedies
If dissatisfied with a decision, you may apply to court within 180 days, or lodge a complaint with the Information Regulator (contact details in §2).
10. Availability and updates
This manual is available at xeqt.co.za/paia and at our offices on request. It is reviewed annually.
